We will never share your information for marketing purposes with anyone else, but we do need to share your information to allow us to organise your holiday. This Privacy Policy explains what information we collect, how we use it and how you can access it.


Communication about Sonas Christian Holidays

 

Email: In addition to emails related to your holiday booking, we would like to send you emails about other Sonas events. You can opt out of receiving these by contacting us at sch@sonaschristianholidays.com.

What information do we collect about you?

 

We collect information about you when you register with us (e.g. to become a member of the holiday club or book a holiday with us.) We also store information when you complete surveys, correspond with us, or provide feedback.

 

We collect:

 

· Contact details: e.g. name, postal address, email, telephone number

· Personal details: e.g. passport information, insurance, age, dietary requirements, mobility requirements, photos/videos, emergency name and contact no.

· Sonas account information: e.g. when your holiday deposit was paid, whether you select a single or twin room.

· Correspondence: e.g. emails that you send to us. 

 

We do not collect any of your card payment details.

How do we use the information about you?

 

We collect information about you to organise your holiday, manage your account and, if you agree, to email newsletters.

 

We will never share your information for marketing purposes with anyone else but we do need to share your information to allow us to organise your holiday.

 

Here are examples of how we use the different categories of information that we receive:

 

· Contact & Personal details: airlines, hotels and other service-providers need this information to allow us to book a place for you.

· Sonas account information: we inform those providing accommodation of the options that you have chosen regarding rooms or excursions.

· Correspondence: we keep a record of our correspondence with you so that we can ensure that we keep our word to you regarding the details of your holiday.

· Written feedback that we receive from you (for example through our holiday questionnaires/evaluation sheets) in print and web-based media for communication about our holidays. We do not include surnames when quoting guests.

Sharing information outside of the UK

 

We may need to transfer necessary personal information outside of the UK when organising holidays abroad. We will comply, in these situations, with the UK General Data Protection Regulation (UK GDPR) to ensure that appropriate safeguards are used.

How long will we keep your information?

 

We keep the details of holidays that you have booked only for as long as is reasonably necessary to fulfil the purpose for which it was originally collected and for no longer than 5 years after your most recent holiday or initial enquiry on our website.

 

Passport data will be kept for a calendar year.

 

In addition to this, you have the “right to be forgotten” whereby we will remove all personal information that we hold about you. To request this, please contact us at sch@sonaschristianholidays.com.

 

If you wish us to remove any of your details from our database after your holiday, please email us as soon as possible. When our data retention period is coming up, we will contact you to ask whether you would like us to keep in touch. Opting into this will result in us continuing to store and process your data as above, until 5 years has passed again, or you request us to remove your information from our database.

Lawful bases and data protection rights

Your information rights include:

 

Your right of access: You have the right to request a copy of the information that we hold about you. If you would like a copy of all of your personal information held by us, please write to us at sch@sonaschristianholidays.com. As long as your postal address is the same as that on our records, we will send the information to you without delay and within 30 days of your request. If your postal address is different from that on our records, we may contact you for further information to verify that your request is genuine.

 

Your right to rectification: We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove personal information you think is inaccurate or incomplete.

 

Your right to erasure: you have the right to ask us to delete your personal information.

 

Your right to restriction of processing: you have the right to ask us to limit how we can use your personal information.

 

Your right to object to processing: you have the right to object to the processing of your personal data.

 

Your right to data portability: you have the right to ask that we transfer the personal information you give us to another organisation, or to you.

 

Your right to withdraw consent: when we use consent as a lawful basis you have the right to withdraw your consent at any time.

 

If you make a request, we must respond to you without undue delay and in any event within one month.
